Office Manager/Project Coordinator

Location: Remote with regular in-person meetings

We offer performing arts and sports sessions to hundreds of children in nurseries,
preschools and primary schools across the Midlands area, promoting creativity, confidence
and fun. Our services include extracurricular sessions, holiday camps, workshops, birthday
parties and many other services too.

Hours: Part-time, self-employed. Working hours to be discussed and agreed but will need to be spread across the week. Hours can also be lowered during the school holidays but we will require
regular check-ins for urgent work. Ideal role for flexibility around school hours.

Role Overview
We're seeking a highly organised, detail-oriented, and approachable Office
Manager/Project Coordinator to oversee and support our operations. From managing
enquiries to coordinating bookings and maintaining financial records, your role will be central
to the smooth running of Funstar Education. Strong project management skills and
proficiency with spreadsheets are essential, as you'll be instrumental in organising
processes and ensuring deadlines are met.

Key Responsibilities

Customer & Staff Liaison:
● Manage daily enquiries from schools and parents with a professional and friendly
approach to build and maintain strong relationships.
● Act as a key contact for self-employed teachers, supporting onboarding, scheduling,
and regular updates.

Operations Management:
● Coordinate bookings for holiday clubs, birthday parties, school workshops, nurseries,
and free trial sessions.
● Create and maintain internal documents, such as term schedules and project
timelines, ensuring data accuracy.
● Support purchasing and ensure supplies are available for sessions and holiday clubs.
● Schedule and coordinate internal meetings.

Financial Management:
● Maintain accurate financial records, including basic bookkeeping and tracking
transactions.
● Process wages and prepare internal financial reports.

Marketing & Promotions:
● Create and distribute marketing materials to parents and schools to drive bookings
and sales.

Skills & Qualifications

Essential Skills:
● Strong organisational and project management abilities, with the capacity to manage
multiple tasks and meet deadlines.
● Excellent communication skills, both verbal and written, with a friendly and
approachable manner across phone, email, and in-person channels.
● Proficiency in Spreadsheets for project management, record-keeping, and financial
tracking.
● Ability to work independently while contributing effectively to a team.

Desirable Skills:
● Basic accounting skills, including transaction explanations, handling reports, and
preparing payments.
● Familiarity with the performing arts, sports, coaching, or education sectors.
● Sales or promotional experience.
● Google Apps experience
● Whatsapp knowledge and comfortable using this to regularly talk to self employed
staff.
● Knowledge or experience of performing arts, sports, coaching or schools industries
(desirable but not essential).
